Smart Networks automatically group users based on rules you define. Instead of users joining the Network, CommuteHub determines membership based on information or behavior that matches your rules.
For example, you could create a Smart Network for users who regularly commute by bike, recently joined your organization, or meet the requirements for a specific incentive.
As users start or stop meeting the requirements, their membership is updated automatically.

Create a Smart Network
To create a Smart Network:
- Log in to the Management Dashboard.
- In the left sidebar, select Users.
- Click Networks.
- Click + Create New Network.
- Select Smart Network.
Standard vs. Smart Networks
Standard Networks are groups that you manage directly. You can also use Smart Selection to make a one-time selection based on rules, but the Network does not continuously check those rules.
Smart Networks use rules to automatically determine and update membership.

Add Network details
Enter the basic information for your Network. Not all fields are required.
- Name: Enter a name that clearly identifies the group.
- Type: Select the type that best describes the Network, such as Organization, Location, Program, Schoolpool, or Department.
- Notes: Add internal notes about the purpose or setup of the Network.
- Tags: Add tags to help organize your Networks.
- Organizational Size: Enter the approximate size of the organization or group.
- Contact & Location: Add relevant contact or location information.
- Branding: Add custom branding if the Network is set as Primary Capable. For more information, see Branding & Appearance.
When you have finished entering the Network details, click Next to define the membership rules.
Define membership rules
Before creating your membership rules, you can define the Audience that the Smart Network should consider. The Audience determines which users or Networks are included in the pool of users that can become members.
After you define the Audience, you create Rules and Groups to determine which users within that Audience meet the requirements for membership.
Add rules
Click Add Rule to create a condition that users must meet to be included.
For example, you could create a Smart Network for users who:
- Have logged a certain number of bike trips
- Joined the organization within the last 30 days
- Have not used public transit recently
- Meet specific profile or eligibility requirements
Combine rules with groups
You can use multiple rules when you need to identify a more specific group.
Click Add Group to combine conditions using AND, OR, and NOT.
For example, you could create a Network for users who regularly bike to work AND are part of the marketing team OR the engineering team.
As you add or change rules, CommuteHub shows a preview of the users who currently meet the requirements.
Remember that Smart Network membership is dynamic. Users are automatically added when they meet the requirements and removed when they no longer do.
☝️ Note: Membership changes may take up to 24 hours to be reflected.
Access & membership
Smart Networks do not have the Public and Private settings available for Standard Networks because users cannot join a Smart Network directly.
Instead, choose whether the Network is Visible or Hidden.
- Visible: Users in your organization can see that the Network exists.
- Hidden: The Network does not appear in users' Network management screens or as an option for carpool sharing and searching.
A hidden Smart Network can be useful for internal segmentation, reporting, or identifying a specific group without making the Network visible to the users in it.
Assign management roles
In the Roles step, you can assign users permission to manage the Smart Network.
Management roles are separate from Network membership. A user does not need to be a member of the Smart Network to manage it.
Depending on their permissions, you can assign users one of the following roles:
- Manager: Has broader permissions to manage the Network and its settings.
- Program Coordinator: Can manage programs and activities associated with the Network, but has more limited Network management permissions than a Manager.
To assign a role, select the user and choose Manager or Program Coordinator.
You can also add or change roles after the Network has been created.

Review your settings and click Create.
Your Smart Network is now active. CommuteHub will automatically determine which users meet your membership rules and update the Network as those requirements change.
