This article explains how to access, view, and edit an existing Standard Network in the Management Dashboard.
Standard Networks are groups that you manage directly, while Smart Networks automatically determine membership based on rules. For an overview of both Network types, see Networks: Overview.
The following video provides a visual walkthrough of the most important steps in this article.
Who can view and edit Networks
Your ability to view and edit Networks depends on your Roles & Permissions.
- Admins can view and edit all Networks in the organization.
- Managers and Program Coordinators can view and edit the Networks they have permission to manage.
Without the appropriate permissions, you cannot make changes to a Network.
Access a Network
To open a Standard Network:
- Log in to the Management Dashboard.
- Select Users in the left sidebar.
- Click Networks.
- Use the filters to find the Network you want to manage.
- Click the Network name to open it.
Once you open a Network, you will see several tabs for managing different parts of the Network.
☝️ Remember: Click Save after making changes. Your changes will not be applied until you save them.
Overview tab
The Overview tab opens by default and contains the Network's basic information and settings.
You can edit:
- Network name: Change the name of the Network.
- Network type: Change the category or classification of the Network.
- Notes: Add or update internal information about the Network.
- Tags: Add tags to help organize and find Networks.
- Organizational Size: Update the size of the organization or group.
- Contact & Address: Primary contact for inquiries
- Network Branding: Customize the Network's colors and images
Delete a Network
You can permanently delete the Network at the bottom of the Overview tab.
⚠️ Warning: Deleting a Network cannot be undone. Before deleting a Network, make sure it is no longer needed and is not being used by active programs or challenges.
Statistics tab
The Statistics tab is view-only and provides an overview of activity and impact associated with the Network.
Available network statistics include:
- Community: Users, managers, and subnetworks
- Activity: Total trips and miles traveled
- Impact: CO₂ savings, cost savings, and calories burned
These statistics update based on activity associated with the Network.
Membership tab
The Membership tab shows everyone who belongs to the Network. From here, you can add or remove users. Click the download icon to export the list of users.
Add members
To add a user:
- Click the Add User icon (+person).
- Search for the user by name or email address.
- Select the user.
- Click the blue Add Member button to add them.
You can select multiple users when adding members.
You can also select “Smart Selection” in the upper-right corner and add users through Groups and Rules, just as you did when creating the Standard Network.
☝️ Remember: Smart Selection is a one-time selection and will not be updated automatically.
Remove members
To remove a user:
- Find the user in the Members list.
- Click the red person icon next to their name.
- Confirm the removal.
For more details, see Manage Members & Roles.
Access & Membership
Standard Networks have two separate visibility settings:
Public or Private
- Public: The Network can be searched for and joined by users.
- Private: The Network is invite-only. Users can join through a manager-provided join link, email domain association, or by being added manually.
Visible or Hidden
- Visible: Users in your organization can see that the Network exists.
- Hidden: The Network does not appear in users' Network management screens or as an option for carpool sharing and searching.
For more information about these settings, see Create a Standard Network.
Sharable Join Link
You can create, copy, and update a shareable link to send to users so they can join this Network.
Auto-Join by Domain
You can add or update the email domains that automatically add new users to the Network.
For example, if you add @example.com, new users who register with an @example.com email address are automatically added to the Network.
Subnetwork Membership
Enable this setting to automatically remove users from this Network if they leave all of its Subnetworks.
Messaging
Update messaging associated with the Network, such as welcome messages or other information displayed to users.
Roles tab
The Roles tab lets you assign management permissions to users in the Network.
You can assign Manager or Program Coordinator roles. Admins already have permission to view and edit all Networks in the organization.
☝️ Before assigning a role: Make sure you understand the permissions associated with each role. Managers have broader Network management permissions, while Program Coordinators focus on managing programs and activities.
For more information, see Roles & Permissions.
Add a role
To assign a role:
- Click the + icon.
- Search for and select the user.
- Choose Manager or Program Coordinator.
- Save your changes.
Change a role
To change an existing role, select the new role from the dropdown next to the user's name and save your changes.
Remove a role
To remove a management role, click the red person icon next to the user's name in the Roles tab.
Removing a role does not remove the user from the Network. The user remains a regular Network member.
If you want to remove the user from the Network entirely, remove them from the Members tab instead.
Subnetworks tab
The Subnetworks tab lets you connect related Standard Networks to the current Network.
For example, you could have a parent Network called Commute Corporation with Marketing, Sales, and Engineering as subnetworks.
Add a subnetwork
To add a subnetwork:
- Open the Subnetworks tab.
- Click Add Subnetwork or the + icon.
- Search for an existing Standard Network or create a new one.
- Select the Network and confirm your selection.
To remove a subnetwork, click the removal icon next to the Network you want to disconnect.
