Standard Networks give you direct control over both Network membership and Network management. You can add or remove users from a Network and assign people Manager or Program Coordinator roles.
Smart Networks work differently. Their membership is determined automatically by rules, so you cannot manually add or remove individual users. For an overview of the differences, see Networks: Overview.

Add or Remove Network Members
There are several ways to add users to a Standard Network. The method you use depends on how you want people to become members.
1.Let users join themselves
Users can join a Standard Network themselves if its settings allow them to do so.
Depending on the Network's visibility settings:
- Public Networks can be found through search, and users can join them directly.
- Private Networks cannot be found through search. Users can join through an invitation, such as a shareable join link.
You can find and copy the Network's join link from the Network settings and share it with users through email, your intranet, or another communication channel.
2.Automatically add users by email domain
You can also automatically add new users to a Standard Network based on their email domain. You can add multiple domains if needed.
To configure this setting:
- Open the Standard Network.
- Go to the Overview tab.
- Find the Auto-Join by Domain setting.
- Enter one or more email domains.
- Save your changes.
3. Manually add users
You can also add users directly to a Network. This is useful when you want precise control over who belongs to a specific Network.
There are two ways to do this.
A) Add users from the User List
Use this option when you are managing a specific user's Network memberships.
- Go to Users in the left sidebar.
- Open the User List.
- Search for the user by name or email address.
- Open the user's profile.
- Go to the Networks tab.
- Click the + icon.
- Search for and select one or more Networks.
- Click Add Selected.
B) Add users from the Network
Use this option when you are managing membership for a specific Network.
- Go to Users → Networks.
- Open the Network.
- Select the Members tab.
- Click the + icon.
- Select one or more users.
- Confirm your selection.
4. Use Smart Selection
You can use Smart Selection to select users based on specific rules. This is useful when you want to quickly identify and add a group of users who meet certain criteria.
You can combine multiple rules using AND, OR, and NOT to create more specific selections. For example, you could select users who have completed at least four carpool trips AND have registered at least one carpool.
Smart Selection creates a one-time selection. It adds the users who meet your criteria at that time, but it does not continuously check the rules. If a user later stops meeting the criteria, they remain a member. If another user starts meeting the criteria later, they are not automatically added.
Remove a user from a Network
You can remove a user from a Standard Network either from the user's profile or from the Network's Members tab.
From the User List:
- Open the user's profile.
- Go to the Networks tab.
- Find the Network you want to remove.
- Click the three dots next to the Network name.
- Select Remove.
From the Network:
- Open the Network's Members tab.
- Find the user.
- Click the red person icon next to their name.
- Confirm the removal.
☝️ Note: If the Network is part of a hierarchy, membership in a subnetwork also makes the user a member of its parent Network. A user cannot belong to a subnetwork without belonging to its parent Network.
Manage Network Roles
Network membership and Network management are two different things.
A user can be a member of a Network without having any management permissions. You can also assign someone a Manager or Program Coordinator role so they can help manage the Network. For an explanation of what each role can do, see Roles & Permissions.
Add a Manager or Program Coordinator
To assign a role:
- Open the Network.
- Select the Roles tab.
- Click the + icon.
- Search for and select the user.
- Choose Manager or Program Coordinator from the dropdown.
- Click Add Selected.
- Confirm the action.
Which role should I assign?
Choose the role based on what the person needs to do.
A Manager has broader permissions to manage the Network and its users. A Program Coordinator can manage programs and activities within the Network, such as challenges, rewards, and communications, but does not have the same Network and user management permissions as a Manager.
For example, imagine a company has a Los Angeles Office Network.
The person responsible for the Los Angeles commute program might be assigned as a Manager because they need to add and remove users, manage Network settings, and oversee the Network.
Someone from the HR or sustainability team in Los Angeles who only needs to run a monthly commuting challenge and send communications could be assigned as a Program Coordinator instead.
This allows you to give people the access they need without giving everyone full management permissions.
⚠️ Important: Manager access gives users significant control over the Network. Only assign this role to people who need to manage the Network and its members.
Change someone's role
To change an existing role:
- Open the Roles tab.
- Find the user.
- Click the dropdown next to their name.
- Select the new role.
- Click Save.
Role changes take effect immediately.
Remove a role
To remove a Manager or Program Coordinator role:
- Open the Roles tab.
- Find the user.
- Click the red person icon next to their name.
- Confirm the removal.
Removing a role does not remove the user from the Network. They remain a regular Network member if they were one before. If you want to remove the user from the Network entirely, use the Members tab instead.
☝️ Note: Admins already have broad permissions across the account and cannot be added as Managers or Program Coordinators.
