This article explains the three roles available on your account, what each one can access, and how to pick the right one for someone on your team.

What are roles and why do we need them?
User roles control what each person can see and do. Instead of giving everyone the same type of account, roles let you assign different levels of access — so people have just the tools they need, and nothing more. This is particularly relevant in the management area, which is why there are different roles with various permissions. We recently redefined the roles to further increase security and flexibility.
The New Management Dashboard uses three roles with distinct permission levels: Admin (full instance access), Manager (full control of assigned networks), and Program Coordinator (program management within assigned networks).
Important: These roles are structured differently from those in the Legacy Management Dashboard. If you previously held a specific role, your permissions may have changed in the New Management Dashboard.

What determines what someone can do?
Every role comes with its own built-in reach. Some roles can act across your entire organization, others are limited to the network (or networks) they're assigned to. That reach is fixed per role.

The three roles
Admin Full administrative access across your entire organization. Can see and manage every network, every person, and most settings.
Manager The same broad authority as an Admin, but limited to the network (or networks) they've been assigned to. A Manager for one site or region can't see or change another.
Program Coordinator Runs day-to-day programs like challenges, rewards, and communications for their own network, without broader administrative access. Can't view or manage users or networks directly.
☝️ A person can hold different roles in different networks. For example, Alex might be a Manager in Network A, but only a regular user in Network B.
Most Help Center articles use "Manager" as shorthand, which often include Admins and Program Coordinators. When a feature is restricted to a single role, we explicitly state that exception. For instance, enabling or disabling Integrations is strictly limited to Admins.
If your account is part of a regional connected ridematching system, your permissions may differ slightly. Reach out to your customer success manager or submit a support request with any questions.

Who should get which role?
- Admin: for the small number of top-level system owners who need control over all settings, users, networks, and data across the account.
- Manager: for leaders who run users, programs, and subnetworks within one part of the organization, without needing to touch the account's overall setup or branding.
- Program Coordinator: for staff who just need to run programs or incentives day-to-day, without needing to see user or network data.
